Administration Executive – Investment Promotion & Marketing Department

Key Duties and Responsibilities:

  • Serve as the primary Administration Executive supporting the Industrial Team, IP&M Department, and the Commission to ensure seamless coordination and efficient daily operations.
  • Coordinate departmental meetings including scheduling, agenda preparation, minute-taking, and follow-up actions to maintain structured workflow.
  • Manage end-to-end payment processing by verifying invoices, coordinating with other dept., and monitoring outstanding payments while maintaining accurate records.
  • Support budgeting and costing activities by tracking expenditures and preparing financial reports for informed decision-making.
  • Maintain organized documentation with proper filing and version control while ensuring compliance with organizational policies.
  • Manage store inventory, marketing collaterals, and gift items by tracking usage and ensuring timely stock replenishment.
  • Monitor departmental operations, provide HR and administrative support, and assist with assigned cross-functional tasks.
  • Coordinate business travel administration including applications, expense summaries, petty cash settlements, and guideline communication.

Qualifications and Requirements

  • Educational background: Bachelor’s degree in Marketing/ Business Management.
  • Knowledge and skills: Good set of soft skills to execute job function
  • Work experience: Two years’ work experience.
  • Ability: Good communicator and inter-personal skills with the ability to establish rapport with diverse individuals.
  • Quality: Complete the assigned work of a specified quality within a specified period of time.
